Who this policy is from and what it covers

Affinity Search Partners is a recruiting firm that finds IT and information systems professionals for employers, on contract, contract-to-hire and permanent terms. Our office is at 5115 Maryland Way, Suite 121, Brentwood, TN 37027.

This policy applies to this website and to the business emails our firm sends. It explains what personal information we hold, where it comes from, how we use it and the choices you have.

When and how we contact people

We get in touch with people at companies whose job relates to hiring or running technology teams, because our services may matter to them. We write to their work email address, and from time to time we may call a business line or send a letter to a business address.

We only reach out when we have reason to think our work could be relevant to the person's role. If someone asks us to stop, we do.

The information we hold

• Business contact details where we have them: name, job title, employer, work email address, business phone and a link to a professional profile.
• Facts about the company, such as its industry, size and location.
• Public business activity, for example job postings, news coverage and posts made publicly.
• The result of checking whether a work address can receive mail.
• Messages exchanged with you and our notes of conversations.
• Website visits. This site sets no cookies and runs no analytics. The company that hosts it keeps ordinary technical logs, and the font service that supplies our typeface receives your IP address when a page loads.

We do not collect sensitive information such as health, financial account, government identity or similar details.

Where it comes from

We gather it from public sources such as company websites, job boards, news outlets and professional networking profiles; from commercial providers of business data; and from you directly, when you reply to us, complete a form or talk with us.

What we use it for

• Deciding whether our services are likely to be relevant to you.
• Reaching you at work.
• Confirming an address is valid before we write to it.
• Answering you and, when you ask, discussing or delivering our services.
• Maintaining our do-not-contact list.
• Keeping our systems secure and meeting legal obligations.

We do not track whether our emails are opened.

Asking us to stop

Reply to any of our emails, worded however you like, or tell the person who calls you. We act on it promptly and in every case within 10 business days.

We then keep your name and address on a do-not-contact list, so that we do not reach out to you again, whatever source your details might later turn up in.

Who we share it with

We do not sell or rent personal information, and we do not share it for other companies' marketing or for targeted advertising.

We share it only with:

• Service providers working on our behalf, such as email and mailbox services, address verification, business-data providers, and hosting and storage. They may use it only to provide that service to us.
• Public authorities, when the law requires it or to protect rights and safety.
• A buyer of or successor to our business, who would be bound by this policy.

How long we keep it

Contact information stays with us while it remains useful, and records that have gone out of date are removed. Information about clients is kept for as long as the work and our legal and accounting duties require. Do-not-contact entries are kept for as long as our firm contacts businesses.

Keeping it safe

Access is restricted to those who need it, and we use reasonable safeguards. No system is completely secure, however, and we cannot promise absolute security.

Your rights

You may ask us what we hold about you and where it came from, ask us to correct it, or ask us to delete it. If you delete it we still keep the do-not-contact entry, so that we never contact you again.

Depending on your state, the law may give you further rights, including to know, correct and delete your information and to opt out of its sale or sharing. We do not sell or share it in that way. We will not treat you differently for using any of these rights.

Make a request by replying to any of our emails, through the contact form at https://affinitysearchpartners.com/contact/, or by post to our office. We may ask you to confirm the email address we contacted so we can find your record. We respond within the time the law allows, and an authorized agent may make a request for you.

Children

Our services are for businesses. We do not knowingly collect information about anyone under 18.

Where we operate

We work in the United States, from Tennessee. Our service providers may process information wherever they operate.

Updates to this policy

If we change this policy, we will change the effective date at the top of this page.
